Mary McClellan Foundation

Part-time Administrative Consultant

 

The Mary McClellan Foundation (MMF) seeks a part-time Administrative Consultant to support the Board and oversee the day-to-day administrative operations of the nonprofit organization.   This position requires a dynamic, collaborative individual with a strong blend of administrative, computer, and communications skills.

 

Background:  The Mary McClellan Foundation (MMF) promotes and supports the health care needs of the residents of Southern Washington County and the Town of Hoosick in Rensselaer County, by making grants to local non-profit organizations which directly or indirectly provide for the health care needs of the community. Founded in 1989 by the Mary McClellan Hospital and reconstituted as an independent Foundation in 2003, the MMF has awarded $2.8 million in grants to local nonprofit organizations.  MMF is led by a volunteer board assisted by a part-time Administrative Consultant.  For more information on the foundation and grants awarded visit http://marymcclellanfoundation.org/

 

Job Responsibilities:

Under the direction of the Chair of the MMF Board, the Administrative Consultant’s responsibilities include, but are not limited to:

  • Supporting the Board in the administration of the MMF’s annual Request for Proposals (RFP) process including publicizing/promoting grant opportunities; tracking and receiving applications and grant reports—receiving incoming application packages, distributing to board members; supporting the Board in its grant review process; and preparing correspondence to grantees and awardees.
  • Records management: Organizing, maintaining and updating MMF documents and files (electronic and paper) including all grantee files (past and present), financial reports, board minutes, and other MMF company and governing documents.
  • Advancing MMF communications, publicity and marketing by maintaining an engaging MMF website (including making quarterly updates, monitoring for accuracy and security, and maintaining vendor agreements); monitoring email account and post office box; and responding to general inquiries.
  • Attending monthly Board Meetings and supporting Board Chair in setting up, preparing for, facilitating and scribing the minutes.
  • Helping to facilitate special projects, such as Retreats/Gatherings, research projects or reports as requested.

 

Qualifications – The skills listed below are guidelines.  Education, work and life experience will be considered alongside skills and competencies.

  • Several years of professional experience in a relevant field which may include a combination of administration, communications or other operations or office related work at a business or nonprofit organization.
  • Proficiency with computers and software including Microsoft Office Suite (including Excel) and managing a WordPress
  • Highly organized with experience in (electronic and paper) record management systems.
  • Marketing experience including publicity and website maintenance.
  • Keen attention to detail, analytical skills, and commitment to excellence and accuracy.
  • Strong communications and writing skills.
  • A highly collaborative and supportive colleague/team member.
  • Self-motivated, solutions oriented and with the ability to prioritize and be a proactive problem solver.
  • A strong sense of ethics, integrity, discretion, and ability to maintain confidentiality.

A plus:

  • Interest in and knowledge of health and wellness.
  • Experience working in the non-profit sector, and reporting to a board of directors.


Terms:  The Administrative Consultant would be hired as an independent contractor. The work requires 2 to 15 hours per week consistent with the MMF’s grant cycle—with height of work from September – January.  Hourly remuneration:  $35 per hour billed monthly.  No health benefits.  MMF will provide a laptop and reimbursement for certain office supplies.

 

Location:  Mostly remote, but must attend monthly in-person Board Meetings held in Cambridge, NY (evenings, 10 per year).

The Mary McClellan Foundation is dedicated to understanding the challenges and barriers to quality medical access in our community. We cannot grant every request, but we would love the chance to hear what you are working on, what you’re up against, and how we could potentially partner with you in the community. Our Board members call this home too! We’re your neighbors, all living and working in Washington County.

We are once again inviting grant applications from non-profit organizations that address health or wellness needs of residents previously served by the Mary McClellan Hospital in at least one of the following Southern Washington County townships:  Cambridge, Easton, Greenwich, Jackson, Salem, or White Creek, and the Town of Hoosick in Rensselaer County. 

The MMF Board is comprised of residents from a variety of backgrounds, including health care and business. Board members work to make informed decisions regarding the many grant applications submitted each year. Drawing on focused research, professional knowledge and community input, we consider how to best steward our funds to serve the interest of the communities in Cambridge, Easton, Greenwich, Jackson, Salem, White Creek and the Town of Hoosick. All of the MMF Board Members live in the communities we serve.


The Mary McClellan Foundation will soon be accepting grant applications for 2025 from organizations that address the health or wellness needs of residents previously served by the Mary McClellan Hospital. Nonprofit organizations are eligible for grant support.
